What Is PEXA? How Electronic Property Settlement Works in Victoria

Commercial Conveyancing Services in Melbourne & Victoria

Not long ago, property settlement meant representatives meeting in a room to swap bank cheques and paper titles. Today, almost every Victorian property transaction settles online through PEXA settlement. It is faster, more secure and means you never have to attend in person. Here is how it works.

What Is PEXA?

PEXA (Property Exchange Australia) is an electronic platform where conveyancers, lawyers and financial institutions complete property settlements. In a shared online “workspace”, each party prepares documents, confirms financial figures and digitally signs. At the agreed settlement time, funds are exchanged and the transfer is lodged with Land Use Victoria – all within seconds.

Victoria was one of the first states to require electronic conveyancing for most transactions, so PEXA settlement is now the standard way property changes hands.

7 Steps in a PEXA Settlement

  1. Workspace created – the buyer’s or seller’s conveyancer opens a PEXA workspace and invites the other parties.
  2. Lenders join – the buyer’s incoming lender and seller’s outgoing lender join the workspace.
  3. Documents prepared – the transfer of land, mortgage, discharge and duty details are completed online.
  4. Financial settlement schedule – every payment is entered: the price, adjustments, stamp duty, fees and loan payouts.
  5. Figures balanced – the schedule must balance to the cent before settlement can proceed.
  6. Digital signing – each representative signs and the workspace is locked before settlement.
  7. Settlement – at the scheduled time, funds move between accounts and the transfer is lodged for registration.

Is PEXA Settlement Secure?

PEXA uses strict identity verification, digital certificates and bank-grade security, and only authorised conveyancers, lawyers and institutions can access a workspace. The biggest risk is outside the platform: email scams where fraudsters pose as a conveyancer and send fake bank details. Always phone your conveyancer on a known number before transferring money, and never act on emailed changes to payment instructions. Scamwatch has more advice.

What to Expect on Settlement Day

On the day, there is usually nothing you need to do. Your conveyancer monitors the workspace and lets you know as soon as settlement is complete – often within minutes of the scheduled time. For buyers, the agent is then authorised to release the keys. For sellers, sale proceeds are paid to the nominated account, usually the same day.

Tip: Make sure any funds you need to contribute are cleared in the correct account a few days before settlement. Late funds are one of the most common causes of delay.

What Can Delay a PEXA Settlement?

  • Finance not approved or loan documents not returned in time.
  • Figures not balancing because of late adjustments.
  • A caveat or other dealing on the title.
  • Missing identity verification or signing authority.
  • Bank system outages, which are rare but possible.

Who Is Involved in a PEXA Settlement?

  • Buyer’s conveyancer or lawyer – prepares the transfer and buyer’s financial details.
  • Seller’s conveyancer or lawyer – confirms adjustments and the seller’s payout figures.
  • Incoming lender – provides the buyer’s loan funds and registers the new mortgage.
  • Outgoing lender – receives the payout and discharges the seller’s mortgage.
  • Land Use Victoria – registers the transfer and updates the title.
  • State Revenue Office – receives the stamp duty payment.

PEXA Settlement for Simultaneous Sales and Purchases

If you are selling one home and buying another on the same day, PEXA can link the two settlements so funds from your sale flow directly into your purchase. This avoids the need for bridging finance in many cases, but it requires careful coordination – both settlements must be ready at the same time, and any delay in one can affect the other. Your conveyancer manages both workspaces and keeps all parties in sync. Read our checklist for selling a house in Victoria.
